This guide assumes you’ve already signed up for TskVlo. If not, start with Getting Started with TskVlo. In this guide, you’ll build out a complete project board from scratch.
Step 1: Create or Enter a Workspace
Workspaces are the top-level containers in TskVlo. Each workspace has its own members, boards, and settings.
After your first login, you created your first workspace. To create additional workspaces, click the workspace switcher in the top-left corner of the sidebar and select New Workspace.
Give your workspace a name that reflects its purpose — a client name, a team name, or a project area. For example: “Marketing Team” or “Acme Corp”.
Step 2: Create a Board
Once inside a workspace, click New Board in the sidebar or on the workspace home screen.
Enter a board name. Be specific — “Website Redesign Q3” is more useful than “Projects”. You can also set a board description to explain the board’s purpose and scope for new team members.
Click Create board. You’ll be taken directly to the board view.
Prefer a head start? In the New board dialog, choose a template instead of Blank board. Built-in templates cover common workflows — Sprint Planning, Project Tracking, Bug Tracker, Content Calendar, Sales Pipeline, Marketing Campaign, Hiring Pipeline, and Support Tickets — and any board in your workspace can be saved as a workspace template. A template brings over its fields, groups, and automations, so you can skip ahead to adding items. See Board Templates for details. The rest of this guide builds a board from scratch.
Step 3: Understand the Default Structure
Every new board starts with three default elements:
- One group called “To Do” — groups are swimlanes or column headers that organize items
- A Name field — every item has a title by default
- A Status field — a pre-configured status dropdown with values: To Do, In Progress, Done
Think of groups as the rows in a Kanban board’s column headers, or as project phases. You can rename, reorder, and add groups to match your workflow.
Step 4: Configure Item Groups
Groups let you organize work into logical sections. For a simple project board, you might want:
- Backlog — ideas and upcoming work
- In Progress — active work
- Review — waiting for review or approval
- Done — completed items
To rename an existing group, click the group name and type a new one. To add a new group, scroll to the bottom of the board and click + Add Group.
You can reorder groups by dragging the handle on the left side of the group header.
Step 5: Add Custom Fields
Default fields (Name and Status) are rarely enough for real workflows. Here’s how to add custom fields that match your project’s needs.
Click + Add Field in the column header row, or go to Board Settings → Fields.
For a typical software project board, consider adding:
- Assignee (Person type) — who is responsible for this task
- Due Date (Date type) — when the task must be completed
- Priority (Status type with values: Low, Medium, High, Critical)
- Estimate (Number type) — story points or hours
For a content calendar board, you might add:
- Publish Date (Date type)
- Author (Person type)
- Channel (Tags type with values: Blog, Twitter, LinkedIn, Email)
- Word Count (Number type)
Each field type has its own configuration options. Status fields let you define custom labels and colors. Person fields can allow single or multiple assignees. See the Custom Fields Guide for a complete reference.
Step 6: Create Your First Items
Items are the individual tasks, tickets, or entries on your board. Click the + Add Item button inside any group, or click directly on an empty row in Table view.
Type the item name and press Enter to save it quickly, or click into the item to open its detail panel where you can fill in all fields, add a description, attach files, and leave comments.
Try creating a few items to get a feel for the flow:
- “Set up project repository” → assigned to yourself → Due in 3 days → Status: In Progress
- “Write project brief” → Status: To Do
- “Client kickoff meeting” → Due Date → Tags: Meeting
Step 7: Invite Team Members
Click Workspace Settings (gear icon in the sidebar) → Members → Invite Members.
Enter your teammate’s email address and choose their role:
- Admin — full access including workspace settings and member management
- Member — can create, edit, and delete items across all boards
- Viewer — read-only access; useful for clients or stakeholders
Your teammate will receive an invitation email. Once they accept and create their account, they’ll appear in Person fields when you assign tasks.
Step 8: Switch Between Views
TskVlo boards support six views out of the box:
- Table view — a spreadsheet-like layout where every field is a column. Great for managing lots of data at once.
- Kanban view — a visual card layout grouped by your item groups. Great for workflow and status tracking.
- Calendar view — items laid out by date, with month and week modes.
- Timeline view — Gantt-style bars across date ranges.
- Files view — every file on the board in one place: board uploads, task attachments, and comment files, with in-app previews.
- Dashboard view — charts and progress widgets for the whole board.
Switch between them using the view toggle buttons in the board toolbar — the board remembers the view you used last. You can also save personal named filters — useful for views like “My Open Tasks” or “Overdue Items”.
