Board email intake lets a board receive new items from incoming email. It is useful for support queues, request intake, and external handoff flows where work already arrives by email.
The feature depends on server-side email configuration. Your TskVlo deployment must have an inbound email domain and IMAP mailbox settings configured before boards can receive messages.
Enable Intake for a Board
- Open the board.
- Go to Board Settings → Email.
- Enable email intake for the board.
- Copy the generated board email address.
- Choose the default group for items created from email.
Managers can change or clear the default group later. TskVlo verifies that the selected group belongs to the board before saving it.
How Incoming Messages Become Items
When TskVlo processes a new message sent to the board address:
- The email subject becomes the item title.
- The plain-text email body becomes the item description.
- If the message only has HTML content, TskVlo converts it to text.
- The new item is created in the selected target group.
This is one-way intake. It does not send arbitrary email from the board and does not keep a two-way email thread synchronized.
Choose a Target Group from the Subject
The board’s default group is used unless the subject starts with a matching group name:
Support // Cannot log in
If the board has a group named Support, TskVlo creates the item in that group and uses Cannot log in as the title. If the prefix does not match a group, TskVlo falls back to the board’s configured default group, then to the board’s first group.
Good Intake Practices
- Use one board address for one intake workflow, such as support, hiring, or client requests.
- Pick a default group that makes triage obvious, such as
InboxorNew Requests. - Share the board address only with people or systems that should create work on that board.
- Use
Group // Titlesubjects for automated senders that can route requests into known groups.
