Using the Files View

Find every file on a board in one place, upload new files, switch between grid and list, group and filter files, and preview images, PDFs, video, and documents right in the app.

The Files view collects every file on a board in one place — files uploaded straight to the board, files attached to tasks, and files attached to task comments. No more opening task after task to find the contract, mockup, or export someone shared weeks ago.

Opening the Files View

  1. Open any board.
  2. Click Files in the view selector of the board toolbar. On mobile, pick Files from the view dropdown.

Like every view, the board remembers it: the next time you open the board, it opens in the Files view if that’s where you left off.

Uploading Files

There are two ways to add files to the board:

  • Click Upload files and pick one or more files.
  • Drag files from your computer anywhere onto the view and drop them when the Drop files to upload overlay appears.

Files uploaded here are stored as board uploads — they belong to the board itself, not to a specific task. Files you attach to a task or a comment show up in the Files view automatically.

Uploads count toward your workspace’s storage quota. If a file is too large or the quota is used up, TskVlo tells you right away.

Grid or List

Use the Grid / List toggle to choose a layout:

  • Grid shows a card per file, with thumbnails for images — ideal for designs, photos, and screenshots.
  • List shows a table with name, source or task, uploader, size, and date — ideal for documents and quick scanning.

Your choice is remembered per board.

Grouping Files

Open the Group by menu to organize files into sections:

  • Group by status — sections follow the status of the task each file belongs to.
  • Group by group — sections follow the board’s item groups.
  • Group by date added — sections like Today, Yesterday, Earlier this week, Last week, Last month, and so on.

Board uploads, which have no task, appear in a No status or No group section at the end. Choose No grouping to see one flat list again. Grouping is also remembered per board.

Filtering and Searching

  • Use the source filter to switch between All, Board uploads, and Task attachments (which includes files attached to comments).
  • Type in Search files… to filter by file name.

Previewing and Downloading

Click a file’s thumbnail or name to open the preview:

  • Images, PDFs, videos, and audio files play or display right in the app.
  • Markdown files are rendered, JSON is pretty-printed, and plain text and log files are shown as text.
  • Anything else shows a short notice — use Download to open it on your device.

Every preview has a Download button, and each file in the grid or list has a download icon of its own, so you can grab the original file without opening the preview.

Jumping to the Task

Files attached to a task or one of its comments show the task title as a link. Click it to open the task and see the file in its context — the description, discussion, and fields around it.

Deleting Files

Click the Delete icon on a file and confirm. You can delete files you uploaded yourself; workspace admins and owners can delete any file on the board.

Who Can Do What

RoleIn the Files view
Owner / AdminUpload, preview, download, delete any file
MemberUpload, preview, download, delete own files
ViewerBrowse, preview, and download only

The Files view updates live: when a teammate uploads or removes a file — here or on a task — the view refreshes on its own. The Files view is only available inside the workspace; public share links don’t include it.

Best Practices

  • Upload project-wide material — briefs, contracts, brand assets — as board uploads, and attach task-specific files to the task they belong to.
  • Use Group by status to see which deliverables are still in progress and which belong to finished work.
  • Give files descriptive names before uploading — the file-name search is the fastest way back to them.
  • For long-form written documentation, use the Workspace Wiki and keep the Files view for the files themselves.
