Kanban Board Best Practices

Structure your groups, limit work in progress, and use Kanban view to run smooth daily standups and clear handoffs.

A Kanban board works best with intentional structure. Here’s how to set one up in TskVlo and use it effectively.

Designing Your Groups (Columns)

Groups in TskVlo are the columns in Kanban view. Keep it simple:

Recommended starting structure:

  • Backlog — ideas and future work
  • Ready — refined and ready to start
  • In Progress — actively being worked
  • In Review — waiting for review or approval
  • Done — completed this cycle

Avoid creating too many columns — 5–7 is ideal. Too many columns makes WIP hard to see.

Setting Work-in-Progress Limits

TskVlo doesn’t enforce WIP limits yet (on roadmap), but you can track them manually:

  1. Agree on a WIP limit for each column (e.g., max 3 items in “In Progress” per person).
  2. Create a saved view that highlights overloaded columns using a filter.
  3. Review WIP limits at daily standups.

Running Daily Standups with Kanban View

  1. Switch to Kanban view.
  2. Open the board in a shared screen.
  3. Walk through each card in “In Progress”: who’s working on it, any blockers?
  4. Cards with no movement in 2+ days often indicate a hidden blocker — address them.

Moving Cards Between Columns

Drag a card to a different column. The item’s group changes, which can trigger automation rules (e.g., moving to “In Review” auto-assigns the reviewer).

Using Color Coding

TskVlo doesn’t currently support card colors, but you can use:

  • Priority field (Select: P1/P2/P3) — visible as a badge on cards
  • Tags (Multi-Select) — shows on cards as soft colored chips, in the same style as Status

Collapsing Columns

Click the column header’s collapse arrow to minimize a column (e.g., collapse “Done” to reduce noise during standups).

Archiving Completed Work

Move “Done” items to an “Archive” group periodically. Create a saved view called “Archive” filtered to that group. Your active board stays clean.

Tips

  • Limit “In Progress” ruthlessly. A team of 5 with 20 things “in progress” has nothing actually in progress.
  • Move cards left (regression) is ok — better to move a card back to “Backlog” than leave an abandoned item in “In Progress”.
  • The Kanban view is best for execution. Switch to Table view for planning, bulk editing, and reporting.
  • Busy board? Set Density to Compact in the board toolbar to fit more cards on screen.
