The Workspace Wiki is a shared knowledge base attached to your whole workspace — separate from any single board — for documentation, playbooks, and anything your team needs to write down once and find again later.
Opening the Wiki
- Open any board or page in the workspace.
- Click Wiki in the workspace sidebar.
The Wiki opens with its page tree on the left and the currently selected page’s content on the right.
Creating and Organizing Pages
- In the page tree, click New Page.
- Give the page a title — you can change it later.
- Start writing in the editor on the right.
To build a hierarchy, create a page under an existing one:
- Hover over the parent page in the tree and click Add Sub-Page (or drag an existing page onto it).
- The new page nests underneath its parent, indented in the tree.
Drag any page in the tree to reorder it or move it under a different parent. There’s no limit to how deep the tree can go.
Writing with the Markdown Editor
Every page uses the same rich markdown editor:
- Use the toolbar or markdown shortcuts for headings, bold, and italics.
- Insert ordered or unordered lists for step-by-step content or reference lists.
- Insert a table for structured data (specs, comparisons, schedules).
- Drop in images directly — they upload and embed inline.
- Use fenced code blocks for commands, config snippets, or code samples.
Pages save automatically as you type — there’s no separate save button.
Discussing a Page with Comments
Open a page and scroll to the comment thread below its content. Comments are separate from the page body, so you can leave feedback, ask questions, or flag something that needs updating without editing the document itself.
Attaching Files to a Page
- Open the page.
- Use the attachment control to upload a file.
Attached files are listed on the page and can be downloaded by anyone with access to it — useful for source documents, exported reports, or diagrams that support the written content.
Restoring a Previous Version
- Open the page and go to its History.
- Browse the list of revisions, each showing who saved it and when.
- Select an earlier revision and click Restore.
Restoring doesn’t discard your current content permanently — it’s saved as its own revision first, so you can always go back.
Recovering or Permanently Deleting a Page
- Delete a page from the tree — it moves to the Deleted Pages panel instead of disappearing immediately.
- Open Deleted Pages to review what’s there.
- Click Restore to bring a page back into the tree, or Delete Permanently to remove it for good.
Permanent deletion is the only step in this flow that can’t be undone, so use it deliberately.
Finding Wiki Content in Search
Use workspace search as you normally would. Matching wiki pages appear in the results alongside matching items, so you don’t have to know in advance whether the thing you’re looking for is a task or a page of documentation.
Granting or Revoking Wiki Access
Wiki access is controlled per member, separately from board access.
- Go to Workspace Settings → Members.
- Find the member and open their access options.
- Grant or revoke their Wiki access.
Members without Wiki access don’t see the Wiki entry in the sidebar, and wiki pages are excluded from their search results. Members with access read and edit pages according to their existing workspace role — the same Member/Viewer distinction already used across boards.
Best Practices
- Start with a small set of top-level pages (e.g., “Onboarding”, “Processes”, “Meeting Notes”) and nest details underneath as the Wiki grows.
- Use comments for feedback and open questions instead of editing someone else’s draft directly.
- Before deleting a page, check whether it should just be moved or renamed — reorganizing in the tree is usually faster than recreating a page from scratch.
- Grant Wiki access to everyone who needs the knowledge, not just editors — Viewers get useful read-only access without any risk to the content.
